HOW DO YOU AUTOMATICALLY FILL FIELDS IN MICROSOFT ACCESS? One way is to use an Access macro attached to a form control event. The macro can evaluate the value entered by the user and automatically populate other related controls. In this example, when a user enters Seattle in the City field, Microsoft Access automatically: • Fills State/Province with Washington • Fills Country/Region with USA • Moves the cursor to the ZIP Code field This creates a practical example of automated data entry in a Microsoft Access form without requiring the user to repeatedly enter related information. You'll also see how Access form events determine WHEN the macro runs, including On Enter, Before Update, After Update, and On Exit. WHAT YOU'LL LEARN: • How to auto-fill fields in Microsoft Access • How to automatically populate multiple fields • How to create a Microsoft Access macro • How to use macros with Access forms • How Microsoft Access form events work • How to use the After Update event • How to create conditional If statements in Macro Builder • How to use the SetValue macro action • How to automatically set form control values • How to use GoToControl • How to move the cursor to another field automatically • How to reduce repetitive data entry in Access forms • How to test an Access macro ⏱️ CHAPTERS: 00:00 Auto-Fill Fields with Microsoft Access Macros 00:40 Understanding Access Form Events 01:15 SetValue & GoToControl Macro Actions 01:42 Open the Form in Design View 02:14 Property Sheet & Macro Builder 02:56 Create an If Statement 03:49 Auto-Fill the State/Province Field 04:54 Auto-Fill the Country/Region Field 05:19 Move to the ZIP Code Field Automatically 05:36 Test the Access Macro 🎓 WANT TO LEARN MORE ACCESS SQL + VBA? Learn how to create Option Groups in Microsoft Access and use Lookup Fields to display meaningful text instead of numeric values. In this step-by-step Access tutorial, you'll create an Option Group, assign values to option buttons, store those values in a table, and create a Lookup Field to make your data easier to understand. Microsoft Access Option Groups are useful when users need to select one choice from a predefined set of options. They can make forms faster and easier to use while keeping the underlying data structured consistently. In this tutorial, you'll see how an Option Group works from both sides: what the user selects on the Access form and what Microsoft Access actually stores in the underlying table. We'll then create a Lookup Field so those stored numeric values can display meaningful descriptions. Learn how to create a UNION Query in Microsoft Access SQL to combine records from multiple tables or queries into one result set. In this step-by-step tutorial, you'll also learn the difference between UNION and UNION ALL, how duplicate records are handled, and the rules your SELECT statements must follow. WHAT IS A UNION QUERY IN MICROSOFT ACCESS? A UNION Query combines the results of two or more SELECT queries into a single set of records without changing or merging the original tables. For example, if similar information is stored in multiple tables or queries, you can use UNION to return those records together in one query result. You'll also learn the important difference between: UNION — combines results and removes duplicate records. UNION ALL — combines results and keeps duplicate records. In this tutorial, we'll build a UNION Query directly in SQL View, combine records from multiple sources, and add a source indicator field so you can identify where each returned record originated.
